Privacy Policy
This policy explains how Fluid AI ("Fluid AI", "we", "us") collects, uses, discloses and protects personal data. It applies to getfluid.ai and to the business conversations we have with prospective and existing customers, partners and suppliers. We handle personal data in line with Singapore's Personal Data Protection Act 2012 and Malaysia's Personal Data Protection Act 2010.
1. Data we collect
Data you give us. When you email us, message us on WhatsApp, book a demo or otherwise contact us, we collect what you share, such as your name, work email, phone number, company, job title and the content of your messages.
Data collected automatically. Our hosting provider, Cloudflare, processes standard request information when you visit the site, such as your IP address, browser type, the page requested and the time of the request. This is used to deliver the site and protect it from abuse.
This website does not set cookies and does not use analytics, advertising or tracking tools.
2. How we use personal data
- To respond to enquiries and arrange demos and meetings.
- To assess, set up, deliver and support our services.
- To manage our business relationships, including contracts, invoicing and payments.
- To send you information about Fluid AI where you have agreed to receive it. You can opt out at any time.
- To operate and secure our website and systems.
- To comply with law and to establish, exercise or defend legal claims.
3. Consent
By giving us your personal data, you consent to us using it for the purposes above, or for purposes we tell you about when we collect it. You can withdraw consent by contacting us. We will tell you what withdrawing means for you, for example that we may no longer be able to provide a service.
4. Disclosure
We do not sell personal data. We share it only as needed with:
- Service providers acting for us, such as website hosting (Cloudflare), scheduling (Calendly), messaging (WhatsApp) and email providers.
- Our professional advisers, such as lawyers, auditors and insurers.
- Regulators, courts or law enforcement where the law requires it.
- A buyer or successor if our business is reorganised, merged or sold, under appropriate confidentiality.
5. Data in the Fluid AI platform
When customers use our platform, we process business data on their behalf, such as invoices, payment records, and customer and supplier contact details. We act as a data intermediary (or processor) for that data. We process it only to provide the services and as set out in our agreement with the customer. Individuals whose data is in the platform should direct requests to the relevant customer, and we will help that customer respond.
6. Transfers outside Singapore and Malaysia
Our service providers may store or process data in other countries. Where data leaves Singapore or Malaysia, we take steps to make sure it receives a standard of protection comparable to the law of the country it came from, for example through contractual safeguards.
7. Retention
We keep personal data only as long as it is needed for the purposes it was collected for, or as required by law. We then delete or anonymise it.
8. Security
We are ISO 27001 certified. We protect personal data with administrative, technical and physical safeguards, including access controls and encryption. No method of transmission or storage is completely secure, but we work to protect data against unauthorised access, use or disclosure.
9. Your rights
You may ask to access or correct the personal data we hold about you, or ask how it has been used or disclosed in the past year. Contact us using the details below. We will respond within 30 days, or tell you if we need longer. We may need to verify your identity, and in limited cases we may charge a reasonable fee for access requests, which we will tell you about in advance.
10. Children
Our website and services are for businesses. We do not knowingly collect personal data from children.
11. Changes
We may update this policy. The current version is always on this page, with its effective date at the top.
